Most dental marketing software lives outside the practice management system. It collects form fills, stores them in its own database, and sends a weekly email about "leads." The problem: a lead that never books, never shows, or never pays is not a patient. The only system that knows what actually happened is the PMS - Dentrix, Open Dental, or Eaglesoft - and that's where Xcare lives.

Xcare Platform Core is a read-only sync layer that pulls appointments, procedures, production, recalls, and patient demographics from your PMS every few minutes. Every other Xcare module - paid ads, recall, rewards, attribution, IQ - reads from this single ledger. There is no separate CRM to maintain, no double entry, no stale data, and no "which dashboard is right?" debate at the morning huddle.

Read-only means Xcare never writes to your PMS without your permission. We pull a snapshot of your schedule and ledger; we don't move appointments, change codes, or touch insurance. The only writes that happen are the ones you explicitly turn on - typically online booking, which writes confirmed appointments back into the operatory you specify.

This matters for three reasons: HIPAA risk surface stays small, your PMS support contract isn't voided, and if Xcare ever goes away your data is exactly where it was. Every Xcare contract includes a 30-day data export clause, in plain CSV.

Inside Platform Core, every patient becomes a single row with a complete history: first contact, source channel, every appointment, every procedure, every recall miss, every review, every rewards transaction. This is the substrate that makes attribution possible, recall accurate, and IQ answers trustworthy.

Without this layer, dental marketing analytics is a guess. With it, you can answer questions like "how many of last quarter's Google Ads clicks turned into completed hygiene visits, and what's the 24-month LTV?" in one query.

We support Dentrix (G7+), Open Dental, and Eaglesoft natively. Read sync is available across all three. Write-back (online booking, recall confirmations, intake forms) is supported only on PMS systems where the vendor exposes a sanctioned write path - Open Dental's API is the most complete; Dentrix and Eaglesoft write-back is scoped to specific operations and depends on your PMS version and bridge configuration. Where write-back isn't available, the front desk gets a one-click confirmation in the Xcare inbox instead. Onboarding takes a 30-minute screen share and a one-time bridge install on the practice server. No PMS upgrade required.

Platform Core ships with prebuilt connectors to the tools dental practices already run: QuickBooks for production reconciliation, Twilio for SMS, SendGrid for email, Google Ads and Meta for ad platform conversions, Stripe for patient payments, and Zapier for the long tail. Data export is a first-class feature, not a retention hostage. Every practice can pull a full ledger - patients, appointments, production, recall status, marketing touches - as CSV or JSON, on demand, with no support ticket and no fees. We believe the practice owns its data; we just make it useful.
