Intelligence · Attribution & Reporting

Every booked patient, sourced.

Most dental marketing reports stop at form fill or ad click. Xcare's Attribution module connects every booked patient back to the channel that sourced them - and reports on PMS revenue, not vanity metrics.

  • ● Multi-touch attribution model
  • ● PMS-revenue truth source
  • ● Channel ROI by procedure
  • ● Patient Revenue Report
Inside the module

What it does, end to end.

Multi-touch attribution

First touch, last touch, linear, position-based - pick the model that matches how your funnel actually works. Most dental practices use position-based for paid + last-touch for organic.

PMS revenue truth

Channel ROI calculated on actual production, not estimated case value. We tie the booked appointment to the dollars billed - and re-bill as treatment plans complete.

Channel-by-procedure breakdown

Implants source mostly from referral + paid search. Hygiene sources mostly from recall + GBP. Knowing which channel funds which procedure changes how you spend.

Patient Revenue Report

The 14-day free deliverable Xcare opens every relationship with: 90 days of your bookings, mirrored, attributed, and graphed.

The deep dive

What practice owners actually need to know.

Why dental marketing reports lie, and how to fix it

Google Analytics tells you about clicks. Your ad agency tells you about leads. Your front desk tells you about phone calls. None of these tell you about patients - the only thing that matters. The gap between a click and a booked, kept, paid appointment is where 60-80% of dental marketing budget disappears, and where every agency's monthly report quietly looks the other way.

Xcare Attribution & Reporting closes the gap. Every booked appointment in your PMS is traced back through the Xcare ledger to the first touch that sourced it - the Google Ads campaign, the Meta creative, the recall SMS, the Xcare Rewards member, the GBP listing, the referral. The number we report is PMS revenue, not estimated lead value.

Multi-touch, not last-click

Most attribution tools credit the last channel before booking. That's why Google Analytics tells you 80% of bookings come from "direct traffic" - it's the last click after the patient already saw your ad, your GBP, and your recall SMS. Useless.

Xcare uses a position-based multi-touch model: 40% credit to first touch (acquisition), 40% to last touch (conversion), 20% distributed across middle touches (nurture). You can switch to first-touch, last-touch, or linear in the dashboard - and see the same revenue allocated different ways to understand what's actually working.

What the dashboard actually shows

Three views, in priority order: revenue by channel (PMS production sourced from each channel over time), cost per booked patient by channel (real ad spend divided by real booked patients, not leads), and patient journey replay (the literal sequence of touches that led to a specific booked appointment).

The patient journey view is the one practice owners use the most. Click any booked appointment from last week and see exactly what happened - first Google search, three GBP impressions, one Instagram ad view, recall SMS, online booking. It's the receipt for the marketing dollar.

  • Revenue attributed to PMS production, not lead value
  • Multi-touch model with first/last/linear toggles
  • Per-channel cost-per-booked-patient and 24-month LTV
  • Patient journey replay, click-by-click
  • Cohort analysis by month, channel, and procedure

Why this only works when one platform owns the whole funnel

Bolting attribution onto a stack of disconnected tools is a guess. The first touch lives in Google Analytics, the middle lives in the email tool, the conversion lives in the PMS, and stitching them together requires an identity graph nobody owns. Xcare owns every step - ad click, landing page, missed call, text-back, online booking, PMS write-back - so attribution is a query, not a reconstruction.

How attribution changes the budget conversation

Once attribution is wired, the conversation about marketing spend changes shape. Instead of "how much did we spend on Google Ads last month," it becomes "what was the cost per booked implant patient on each campaign, and which campaigns should we double or kill."

The typical first-quarter outcome: 20-40% of ad spend gets reallocated. Channels that were quietly producing get more budget; channels that were dressing up form fills as wins get cut. Total spend usually stays flat; booked patients per dollar typically rise 30-60%.

FAQ

Practice owners ask.

How does dental marketing attribution actually work?

Xcare tracks every patient touch (ad click, form fill, GBP click, SMS, call), de-dupes by phone / email, and matches to the booked appointment in your PMS. Revenue from that appointment - and downstream treatment - is credited back to the source channel.
